Job description

We currently have a full-time opportunity for an IT and Records Administrator to join our Client's team on a staff basis.

The position will be based in Invergordon, Ross-shire

Reporting to the IT Systems Engineer, the successful candidate will provide a helpdesk support and assist with maintenance of information & communication technology systems/ security systems. The post holder will be monitoring and maintaining an efficient data management system in order to support the business strategy.

Responsibilities:

  • Understand and comply with evolving Data Protection Legislation as applied to a document management system

  • Maintain and improve the project data management system conducive to efficient data retention; archiving; and accurately maintain databases for the projects in line with company processes and procedures

  • Evaluate, implement and manage a document management system; review and develop document/data management strategy for hard and soft copy documentation

  • Prioritise security of information

  • Data management support for project teams

  • Provide assistance to effectively communicate information systems status to colleagues and educate staff on information systems and processes

  • Assist the IT Systems Engineer in ensuring the systems are running at optimum performance with minimum downtime.

  • Monitor and maintain IT systems as required, including hardware, operating systems, security systems, telephone system, network and backup.

  • Assist with software installations, upgrades and patching.

  • Investigate and resolve support requests logged by users.

  • Physical attendance at the premises to investigate, coordinate and resolve open support requests and provide proactive maintenance.

  • Provide reports and analysis with regards to the IT systems and user support statistics, and other data.

  • Contribute to IT projects and work to timescales and within costs.

  • Provide holiday/absence cover for the IT Systems Engineer and emergency out-of-hours IT support on a Rota basis.

  • Occasional pre-arranged weekend work as required to maintain or upgrade IT systems and infrastructure.

  • Demonstrate discretion and trustworthiness when dealing with confidential or sensitive information.

  • Commitment to the highest standards of security and safe working in a controlled environment.

Skills/ Experience:

  • Undergraduate degree or equivalent experience

  • Experienced working with a controlled document management system

  • Experience in 1st/2nd line IT support role desirable

  • Proficiency in Microsoft Office apps and Microsoft Project would be an advantage

  • Attention to detail and awareness of implications of errors in document management; prioritising matters for attention

  • Ability to work to internal controls and associated standards.

  • Open and flexible approach to work with the ability to meet strict deadlines

  • Problem solving skills and logical thinker

  • Strong customer focus

  • Use own initiative

  • Good communication, listening and inquiry skills; confident interacting with colleagues and customers, including providing training.

  • Willingness to continuously develop and attend training and development sessions as required, on occasion out with normal hours of work, to ensure the necessary level of competence

Other requirements:

  • Current valid driving license and use of a vehicle
