Job description

We are seeking an experienced Project Coordinator, preferably with a background of working in an oil & gas Operator business. This will be a contract position based in Aberdeen, working on a hybrid basis of 3 days in the office and 2 at home. Office based in City Centre.
Responsibilities:
* The project manager is the main interface.
* Provide integration and co-ordination across a range of project activities. This includes ensuring team members complete actions within project timelines.
* Operational Readiness will define Project to Asset handover requirements, and audit to ensure the project is ready to begin operation through the prestart up audit. The role will support OR where necessary using the electronic Statement of Fitness (eSOF) tool.
* The project coordinator supports the document controller in ensuring the document control procedure is implemented at the start of the project and is adhered to throughout the project in Assai. The role entails supporting project close out through document coding, close out and assurance.
* Responsibilities include management of the TA's identified in the PCAP, to ensure buy-in to project requirements, and support the project as required by the PMF.
* The Project Coordinator will assist to ensure both the comapny and the key Contractors comply with agreed document review cycles.
* The role entails liaising with asset management, to organise the timely sign off of the Statement of Fitness, to enable Project to Asset handover.
* The PC will ensure the creation of the correct structure at the beginning of a project. The PC will also manage team meetings that are required to execute the work.
* The PC will help keep the team organigram current and up to date.
* Action trackers need to be established, managed, and maintained covering the complete project scope.
* Assist in the preparation and delivery of the Monthly Project Report & Performance Report.
* The PCAP allows assurance oversight by technical authorities. The PC will manage the PCAP progress and prepare closure overviews.
* The PC leads the effort to complete the handover between the Project and the Asset, with the support and guidance of the ORA focal point.
* The PC supports the Quality Lead in identifying, capturing, recording, and reporting quality observations and incidents utilising the SQI database.
* Run monthly reports and report out to scope leads. Compare planned v's actual time writing monthly. Update joining and transfers form, maintain 100% TW per month for project.
* The PC has the role as management of change (MoC) coordinator. The MoC coordinator is the central person in the MoC Procedure verifies initial change requests:
* -Initiates TA reviews, actions for the relevant change panel, implementation actions, readiness review and change closure.
* -Record the decisions of the screening panel and change panel by updating the status and uploading the minutes of meeting.
* -Keep track on current progress of the change request and will intervene when appropriate
* -Will provide reporting on MoC.
* The PC helps the project team capture lessons learned. Lessons learned will be distilled into items on the global learning from experience database and actions and include closure of actions that need to be completed by the team.
* Organise and run the PLANC meetings under the direction of the HSE Lead. Ensure the PLANC is updated under the direction of the application leads. Store and file documents associated with the PLANC for project handover in a recognized secure system.
* Inform PT of progress relating to the PLANC.
* PC support with the tracking and expediting of verification and inspection activities.
* Create Purchase orders in sap, update commitment register and process service entries in a timely manner.
* Assist with closing PO's when required.
