Job description

Our client has a current requirement for a experienced Administrator to join their team on a 12-month contract. This is a full-time position, based at Ardersier, just outside of Inverness.

As Project Office Administrator, you will report directly to the Project Manager, assisting the team with multiple administrative tasks and being the first point of contact for the project site.

Duties and responsibilities

  • First point of contact for the project site (phone and visitors to site)

  • General administrative duties including scanning and filing

  • Create, maintain and co-ordinate document registers

  • Receive, log and distribute project documentation

  • Review and update technical documents

  • Scan, copy and store documents electronically

  • Travel and accommodation bookings for project staff

  • Training administration including raising requisitions, providing data to Project Managers, arranging training, sending out joining instructions, updating multiple databases and typing minutes.

  • Booking medicals and raising PO's for them on SAP

  • Ensuring weekly and monthly timesheets are submitted on time

  • Provide support to other teams e.g. invoice entry and occasional closing PO's

  • Raising purchase orders for PPE, stationary and general site consumables

  • To work in a safe and efficient manner and to comply with all company policies and procedures

Skills and experience

  • Strong IT skills (including MS Outlook, Word & Excel, Teams, SharePoint and experience using SAP Business 1)

  • Excellent communication skills and strong relationship building capabilities across all levels of the business

  • Team player who works collaboratively, demonstrating an openness to others' ideas and input

  • Strong attention to detail and the ability to see tasks through to completion

  • Ability to maintain high standards while meeting strict deadlines

  • Positive attitude, constructive thinking and able to adjust to change

  • Committed to advancing own learning and competence, showing a willingness to learn new skills
