Job description

Our client is currently recruiting for the position of Personal Assistant, based in Aberdeen.

Responsibilities:
* Management & coordination of logistics and diaries for both internal & external meetings for the ET and BD Directors and teams.
* Co-ordinate and book travel arrangements, plan itineraries and process expenses.
* Send out letters and emails and draft more complex correspondence for managers' final approval.
* Attend meetings and take minutes as required.
* Manage department procurement card.
* Work primarily with the Executive Assistant and at times with other PAs, sometimes taking the lead, to arrange internal events in all offices/sites (Town Halls, coffee sessions) and to collate information with the comms team for internal briefings.
* Co-ordinate, along with the Internal Comms team when appropriate, attendance at external events e.g. business breakfasts, awards, etc.
* Organise and prepare complex documents requiring the integration of multiple office technology and software applications.
* Raise requisitions in SAP as required, following through with SES numbers and checking payments are forthcoming. Acting as go between with vendor and finance department and dealing with queries. Monitor budgets spend for POs within departments and flag to appropriate person when reaching limit; and
* Follow the safety and environmental policies, guidelines and procedures as directed by the business unit.

Experience & Qualifications:
* High School/College education required minimum.
* Personal Assistance experience required.
* Experienced SAP user
* Knowledge of Oil & Gas Industry preferred but not required.
