Job description

Our Client is looking for an Operations, Maintenance and Facilities Administrator to join their busy team based in Evanton, Ross-shire on an ongoing contract basis.

The successful post holder will provide administrative support to the Operations, Maintenance and Facilities Lead, ensuring the planned preventative maintenance system is used efficiently and effectively and always kept up to date.

They will contribute to the efficient running of the site operations by performing administrative duties as outlined below with a high level of organisation, competence and attention to detail.

Operations Maintenance and Facilities Administrator is expected to be able to react positively to day to day changes that occur in the work environment and be flexible in their work patterns to accommodate the demands of a busy department.

  • Daily administration of planned preventative maintenance database (Infor EAM)

  • Control of New Assets being entered into Infor EAM and their planned preventative schedules

  • Create and schedule corrective and preventative work orders in infor EAM

  • Assist with the control of sub-contractors working on site conducting maintenance and facilities work

  • Allocation of planned work from Infor EAM to the Maintenance Team

  • Ensuring daily tool box talks are given to Maintenance Team prior to any work being carried out

  • Support the Permit to Work system

  • Keep the site planner up to date, hold SIMOPS meetings and distribute the planner weekly

  • Keep up to date the Contractor Work Order list, Gas Register & Site Hired Equipment Spreadsheets

  • Record actions from the Site Inspection reports and hold weekly meeting to discuss and action.

  • Conduct Operations, Maintenance & Facilities Department administration, as required

  • Provide assistance as required with the preparation of reports and other documents, control filing and archiving of records and Equipment Manuals library

  • Any other duties as required by the Operations Maintenance & Facilities Lead

Requirements:

  • Good level of education

  • Excellent IT skills including Word, Excel and PDF

  • Good communication skills, written and spoken

  • Team player, capable of working within a team or autonomously

  • Positive service attitude, ability to organise their own workload, to work accurately.

  • Ability to multi-task

  • High level of commitment, prepared for flexible work patterns and able to react to day to day changes.

  • Good working knowledge of the appropriate functions in Infor EAM (preferable)

  • Understanding of the type of plant and equipment on site (preferable)

  • Previous background in planned preventative maintenance is not required however would be advantageous

  • Current UK driving licence
