Role Title - Subcontract Administrator - Subcontracts - Civil/ Mechanical/ Electrical

Location - Reading (60/40 Hybrid Working)

Purpose Due to our phenomenal growth, we are seeking a PSCM Subcontracts Administrator, as part of Anesco's growing Commercial and Projects team. The postholder will manage contract compliance, vendor bid/selection, cost/benefit tracking. Responsible for vendor relationships, vendor performance management and performance evaluations

Key Accountabilities & Responsibilities

  • Preparation of tenders for all disciplines and project specific contract strategy e.g. bidders list and project specific terms & conditions

  • Compile all required information from other departments e.g. engineering, planning, commercial, operations and to issue invitations to tender

  • Evaluation and negotiations both commercial/contractual and coordinating technical evaluations

  • Organize and chair clarification meetings and kick-off meetings

  • Organize the tender board and provide the required documentation

  • Preparation and issuing of contracts and for the accurate administration of the contract and issue of addenda and/or amendments

  • Monitoring contract variations (subcontracts and client contracts)


Role Profile

  • Involvement, post contract award, embraces all activities necessary to be aware of the Contractor's performance/actions in relation to the requirements of the contract and ensures obligations are met.

  • Responsible for all contractual correspondence and for close-out contracts

  • Update and manage changes to Company's contract models and maintain online contract repository.

  • Work closely with Commercial team to ensure appropriate models are available

  • Perform Anti-Corruption Due Diligence exercises

  • Complete Statement of Requirements documents

  • Contribute in highlighting existing or potential deficiencies that might result in deviations from the contract, disputes, requests for changes, and/or claims

  • Prepare deliverables list and contractual correspondence (i.e. Contract Plan, Schedules, Engineering Plan, HSSE Plan, etc.), and ensure it's responded to as required

  • Write contract briefs and ensure availability of contract documentation

  • Ensure change order files contain all required backup documents and are auditable

  • Provide input on procedural issues and contractual matters relating to contracts

  • Provide guidance to contractual disputes and contractual clarifications to existing contracts

Skills & Competencies

  • Experience working in a multi-project environment with strong technical and commercial skills.

  • Work as part of a team of buying and commercial professionals with the ability to adapt to project dynamics. (i.e. unit rate, lump sum and/or reimbursable contracts)

  • Positive interpersonal skills dealing with internal stakeholders and external customers Experience working with contractor organizations

  • Ability to work efficiently on multiple projects within tight deadlines

  • Experience performing effectively in a multi-disciplinary, multi-cultural environment

  • Previous Solar, PV, PVV is desirable, with associated transferrable sector skills

  • Demonstrable Procurement, Supply Chain experience

Qualifications & Experience

  • HND/ Degree in Engineering/ Science or related Supply Chain Management qualification CIPS

  • Procon/ SAP/ Ariba or related software experience preferred Additional information

  • Membership of a relevant professional body is desirable
