Job description

Our Client has a current opportunity for an enthusiastic Administration Assistant to join their team, based in Evanton. This will be on a temporary ongoing basis initially, with the potential to become a long term position with the company.

Full-time position, working hours are Monday to Thursday 8am - 5pm and Friday 8am - 12pm.

This role offers an ideal entry point for individuals who are interested in starting their career journey within the Oil and Gas Sector, including school leavers.

Main Duties

  • Booking meeting rooms
  • Ordering lunches
  • Setting up meeting rooms for visits
  • Meet & greet visitors
  • Assist with PPE requirements
  • Clearing meeting rooms after visit
  • Weekly check of meeting rooms, replenish as per content list
  • Maintain stationery levels, ensuring sufficient stock of paper & other contents, placing orders as and when required
  • Take receipt of stationery orders, top up stationery cupboard & place excess in admin store
  • Keep stationery cupboard/admin store organised & tidy
  • Prepare client wing offices for use by project reps & be the point of contact for allocating rooms & issuing keys, IT equipment etc
  • Assist with visitor/contractor inductions - setting up on site or emailing links to be completed prior to visit
  • Book collection/delivery of skips & complete register to track movements
  • Data collation/input - Vehicle check lists
  • Assist with personnel onboarding/offboarding procedures
  • Ensure printers onsite are working and toner/waste cartridge stocks are available, report any issues & co-ordinate callouts with HOE
  • Point of contact for logging calls with Isolv (IT support)
  • Assist with processing of Timesheets for payroll
  • General office admin such as photocopying, scanning, filing on teams etc
  • Assist with training and recruiting admin
