Job description

Our client is currently recruiting for the position of Technical Assistant, based in Aberdeen.

Responsibilities:
* Responsible for supporting the Buchan project, transition and eventual operations team in administration activities
* Support with technical queries relating to transition, project and operations phases of the project
* Administration and ownership of the project, transition and operational reports (weekly and monthly)
* Ensure timely update of risk and opportunity registers
* Data management duties - Synergi, Maximo (in support of CMMS analyst), Prism
* Administration of key processes - Decision Registers and Reviews/Presentation Materials; Project Stage Gate Reviews; Key Documentation Reviews; Operating Rhythm
* Organising and attending key stake holder meetings and team administration for meetings (minutes and presentations)
* Develop and maintain relationships at all levels, including internal and external customers, suppliers, vendors, and other stakeholders
* Coordinate and oversee the preparation of technical reports, presentations, and other relevant documents as required by the team
* Work closely with the office support team and finance function in support of team activities
* Support onboarding processes for new personnel joining the team (a gap at the moment?)
* Support development and upkeep of the project intranet page (SharePoint)
* Ensure all correspondence and documents are accurate, concise, and of high quality, using appropriate tools and maintaining version control
* Support efficient implementation of new and current technical processes, programs, tools, and practices as directed
* Keep and maintain action trackers for key stakeholder meetings
* Collaborate with other team members to identify and resolve any issues or concerns within the transition and development project
* General administration duties in support of the team day to day activities
* Provide meet and greet services for key stakeholder meetings
* Make travel arrangements as required for operations and project teams

Experience & Qualifications:
* Excellent oral and written communication skills
* Strong interpersonal and communication skills
* Self-motivated with excellent organisational skills
* Strong computer skills in Microsoft Office applications
* Initiative and inquisitiveness
* Strong time management skills
* Secondary school to Higher level of education required
* Sound administrative assistant experience essential
* Knowledge of appropriate software including: Microsoft 365 suite (Word, Excel, Outlook, SharePoint, PowerPoint, Teams); Adobe Acrobat

6 Month Contract position.
