Position: Site Administrator (Onshore)

Position Info:

Work Location: Base Office (30 km away from the city centre)/Heliport

Position Schedule: ASAP, 12 months (renewable)

Qualifications & Experience:

Education: Higher education

Work Experience: Minimum 2-3 years’ experience in a similar role

Knowledge of Languages: English (fluent), Azerbaijani (fluent)

Other Skills/Certificates Required:

- Be fluent in standard software for PC such as MS Office;
- Strong command of written and spoken English

Responsibilities:

• Support the administration and management of personnel onboard vessels, assigning also the accommodation and liaising with the travel agent for the personnel travelling;
• Follow-up the vessel HR Plan;
• Operate and maintain all radio and communication onboard (only if holder of GMDSS certificate);
• Support activities for Information and Vessel Personnel Administration System;
• Assist in preparing and managing all type of documentation as required;
• Archive paper and electronic documentation as required Support in preparing reports and data analysis Maintain the radio log-book;
• Ensure all outgoing correspondence is approved by Master (only if holder of GMDSS certificate) ;
• Organize radio communications (only if holder of GMDSS certificate);
• Fully adhere, at all times and irrespective of the workplace, to Company Health, Safety, Environmental and Quality (HSEQ) policies, procedures and requirements;
• Perform other related duties as assigned by Superior.

Onshore & Heliport related duties:

• Support Offshore Admin with provision of documents for Vantage updates/renewal - upon request from Offshore Admin;
• TRP assistance (follow up and collection of individual application packages, arrangement and coordination of TRP blood tests for new arrivals and renewals);
• Pre-screening (safety, security, etc.) of helicopter and crew-boat passengers – the importance of the role is in making passengers aware of the safety and security regulations, anticipation of any issues on the subject to be addressed within the company;
• Onshore logistical support for transfer of helicopter passengers from/to heliport – both expat and locals;
• Onshore support to in port crew changes in case of cancellation of helicopter transfers, including offshore clearance (contact with port authorities);
• Actions related to timely submission and maintenance of the “Weekly Crew Transfer Report”;
• Personnel offshore clearance advance verification;
• Assistance to HR and Project functions with various site personnel reporting and logistics..
• Fully adhere, at all times and irrespective of the work place, to Company Health, Safety, Environmental and Quality (HSEQ) policies, procedures and requirements;
• Perform other related duties as assigned by the Superior.
