We are seeking a highly organised and proactive Secretary / Executive Assistant to support senior leadership and a busy operational team within a leading international energy business. This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced, professional environment and coordinating activities across multiple departments.
The Role
Working closely with senior management and functional leaders, you will provide comprehensive administrative support, coordinate departmental activities, and ensure the smooth running of day-to-day operations.
This role requires excellent organisational skills, discretion, and the ability to manage multiple priorities while maintaining a high standard of professionalism.

The Role
Working closely with senior management and functional leaders, you will provide comprehensive administrative support, coordinate departmental activities, and ensure the smooth running of day-to-day operations.
This role requires excellent organisational skills, discretion, and the ability to manage multiple priorities while maintaining a high standard of professionalism.
Key Responsibilities
- Provide administrative support to senior leadership and departmental management teams.
- Provide cover and support for other executive assistants and secretaries as required.
- Manage executive expense claims and associated administration.
- Coordinate logistics and arrangements for executive and VIP visits.
- Organise departmental meetings, town halls and internal events.
- Liaise with IT and Facilities teams to support departmental activities.
- Promote compliance with internal processes, systems and company policies.
- Support onboarding activities for new employees, including arranging equipment and workplace induction.
- Coordinate contractor onboarding and offboarding activities.
- Act as the departmental travel coordinator, arranging domestic and international travel.
- Verify and support accurate SAP coding and accounting information relating to travel and departmental expenditure.
- Raise service orders and assist with departmental cost administration.
- Arrange meeting rooms, venues and catering for internal events.
- Coordinate annual departmental conferences and workshops.
- Maintain departmental SharePoint and internal communication pages.
- Provide general administrative support and undertake ad hoc tasks as required.
- Bachelor's degree in Business Administration, Management or a related discipline.
- Excellent written and verbal English communication skills.
- Strong Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
- Experience using SAP or another ERP system would be advantageous.
- Ability to handle confidential information with discretion and professionalism.
- Strong interpersonal skills with the ability to build effective relationships across all levels of an organisation.
- Excellent attention to detail and organisational skills.
- A proactive, positive and adaptable approach to work.
- Ability to prioritise workloads and meet deadlines in a dynamic environment.
