Orion Group is hiring a Project Coordinator for our pharmaceutical client in Mettawa, to provide operational and administrative support to the Data Operations team, assisting with invoice processing, purchase order management, third-party agreements, data onboarding, and vendor coordination. This role plays a critical part in maintaining financial accuracy, compliance, and workflow efficiency across cross-functional stakeholders, including Procurement, Finance, HR, IT, suppliers, and external vendors.
The Project Coordinator will manage high-volume documentation, timelines, and agreements while supporting a data budget.
The ideal candidate is detail-oriented, highly organized, and comfortable working in fast-paced, regulated environments while managing multiple priorities and partnering with diverse teams.

Key Responsibilities
Invoice & Financial Operations
- Process and track invoices for the Data Operations team, supporting an annual budget
- Review invoices for accuracy and reconcile against Purchase Order (PO) amounts.
- Track invoices through the full payment lifecycle and maintain organized filing systems of approved documentation.
- Assist in tracking data-related budgets and expenditures.
- Create, submit, and manage Purchase Order requests.
- Maintain PO and Statement of Work (SOW) filing systems.
- Coordinate contract documentation and timelines for vendor engagements.
- Manage Third Party Agreements (TPA) and related agreements
- Assist internal users with submitting TPA requests and perform quality control prior to vendor submission.
- Communicate directly with vendors regarding agreement status and issue resolution.
- Track agreement progress, manage renewals, and coordinate annual updates.
- Resolve issues between Company, contractors, and vendors, escalating to subject matter experts as needed.
- Support user training related to agreement processes and compliance requirements.
- Support data onboarding activities, including contract management and status tracking.
- Coordinate between company and external partners to resolve onboarding issues and minimize turnaround time.
- Serve as training coordinator for vendors, including scheduling sessions and tracking attendance.
- Coordinate documentation, timelines, and vendor agreements across 250+ active initiatives in partnership with Procurement, Finance, HR, IT, and suppliers.
- Utilize enterprise systems, including internal tools and SAP/SRM, to support project workflows and vendor operations.
- Lead onboarding and offboarding for employees and contractors using customized trackers to ensure compliance and accurate access provisioning.
- Oversee provisioning and enterprise asset tracking; implement secure deactivation procedures to protect company data and ensure timely asset recovery.
- Design compliance protocols and guides to support managers, suppliers, and external vendors in proper cost center usage and data security.
- Develop personalized tracking tools to enhance audit readiness, improve onboarding efficiency, and enhance asset management accuracy.
- Collaborate with HR, BTS, Deployment teams, suppliers, and remote partners to resolve access, asset, and onboarding challenges.
- Provide ongoing support to administrators and business teams for onboarding solutions, asset requests, and process escalations.
Qualifications
Required
- High School Diploma or equivalent (College degree preferred).
- Excellent verbal and written communication skills.
- Strong Microsoft Office proficiency (Excel, Word, Outlook, PowerPoint).
- Exceptional organizational skills with the ability to multitask and prioritize competing deadlines.
- Detail-oriented with a high degree of accuracy and follow-through.
- Persistent problem-solver with the ability to quickly learn new systems and processes.
- Comfortable working cross-functionally in fast-paced, regulated environments.
Preferred
- Experience supporting financial operations, invoicing, or purchase order processes.
- Familiarity with vendor management, contract administration, or third-party agreements.
- Experience working with enterprise systems such as SAP/SRM, ServiceNow, or similar platforms.
- Prior experience in pharmaceutical, data operations, or regulated corporate environments.
