Orion Group is hiring for an Administrative & Systems Support opportunity!
This role provides critical support across multiple departments by utilizing various software platforms to ensure accurate recordkeeping, compliance, and process efficiency. The position also supports section managers and directors with administrative tasks, reporting, and audit readiness for our pharmaceutical client in North Chicago!
Key Responsibilities
System Management & Data Integrity
- Serve as a MAXIMO super user: write, monitor, and close service requests; develop and maintain job plans and preventive maintenance schedules per MEP guidelines; ensure asset data accuracy.
- Provide MAXIMO training to multiple departments as a qualified trainer.
- Manage the forklift lease and maintenance program.
- Create and monitor DSP requests for SAP system and vendor updates.
- Write, review, and maintain work orders across Maintenance, Engineering, Production, and Corporate Maintenance teams.
Reporting & Analytics
- Build and monitor Cognos queries for EHS, Quality, Maintenance, Corporate Maintenance, Engineering, and Production.
- Run weekly MEP metric and KPI reports, including Break-Ins, Labor Reports, and PM On-Time performance.
- Provide financial tracking and reporting support for capital projects and departmental initiatives.
- Request supplier quotes, submit purchase orders (materials and services), reconcile goods received, and approve/reject service entries.
Administrative & Departmental Support
- Provide general administrative support to section managers and directors, including backup support at the director level.
- Coordinate new employee onboarding and office setup.
- Schedule and organize meetings, teleconferences, and departmental events.
- Manage travel arrangements, process expense reports, and track employee time, overtime, and vacation.
- Maintain and update departmental display boards and communication tools.
- Handle office supply orders, uniforms, and annual calendars.
- Coordinate corporate card/P-Card purchases (supplies, bereavement flowers, meals, etc.).
Compliance & Training
- Submit JSTM to lead trainer for completion and file in the 84M Training Folder.
- Support front-line audit requests.
- Ensure training documentation and compliance processes are maintained accurately.
Qualifications
- High School diploma or equivalent; some college preferred.
- 3+ years of experience with MAXIMO and SAP.
- 3+ years of administrative or project coordination experience.
- Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Visio, OneNote, Teams, Outlook, and Publisher.
- Strong organizational, communication, and problem-solving skills.
