Marketing Operations Associate – Promotional Review (MLR/PRC)

Location: Remote- supporting Irvine, CA 
Industry: Pharmaceutical / Healthcare Marketing
Pay Rate: Up to $40/hr (W-2)

Orion Group is seeking a Marketing Operations Associate to support the review and approval of advertising and promotional materials for approved pharmaceutical and/or medical device products.
This position plays a key role in coordinating the Promotional Review Committee (PRC) process, partnering with Medical, Legal, Regulatory, Compliance, and Brand Marketing teams to ensure promotional materials move efficiently through review and approval while meeting company policies, standard operating procedures (SOPs), and applicable regulatory requirements.
The ideal candidate has 3–5+ years of marketing operations experience in a pharmaceutical or healthcare advertising environment, understands promotional review workflows, and is comfortable facilitating cross-functional meetings, managing multiple brands, and keeping projects on track.

Key Responsibilities

Promotional Review Committee (PRC) Coordination
  • Lead and facilitate cross-functional promotional review meetings involving Medical, Legal, Regulatory, Compliance, and Marketing stakeholders.
  • Develop meeting agendas, coordinate scheduling and logistics, document reviewer feedback, and communicate required revisions.
  • Guide productive discussions, resolve process-related questions, and ensure clear follow-up actions.
Promotional Material Review & Project Management
  • Independently manage promotional review workflows for multiple brands, including offline and live reviews.
  • Track materials through each stage of the review and approval process, proactively identifying issues and potential delays.
  • Partner with Brand Marketing, project originators, and review committee members to ensure timely completion of reviews.
  • Utilize promotional review systems and reporting tools to monitor project status, communicate updates, and manage deadlines.
Compliance, SOPs & Process Best Practices
  • Ensure promotional materials follow established review procedures, company policies, and applicable FDA promotional guidance.
  • Identify potential process or compliance concerns and escalate or resolve them with the appropriate stakeholders.
  • Provide guidance and training to review participants on promotional review procedures and system workflows.
Regulatory Submission Support
  • Collaborate with Editorial, Production, and Regulatory Affairs to support timely completion of review and submission activities.
  • Help coordinate workflow requirements associated with regulatory submissions, including FDA Form 2253 submissions to the Office of Prescription Drug Promotion (OPDP), where applicable.
  • Identify and resolve process-related issues that could affect submission deadlines.
Process & System Improvements
  • Partner with Marketing Operations, Brand teams, and business technology stakeholders to identify opportunities to improve promotional review processes.
  • Participate in system testing, issue resolution, and implementation of workflow enhancements.
  • Lead or co-lead assigned projects that support departmental goals and operational efficiency.
Required Qualifications
  • Minimum 3–5 years of marketing operations experience.
  • Experience working in a pharmaceutical or healthcare advertising environment.
  • Understanding of pharmaceutical promotional review processes and cross-functional Medical, Legal, and Regulatory (MLR) collaboration.
  • General knowledge of FDA regulations related to pharmaceutical advertising and promotion.
  • Strong project management, organization, and multitasking skills.
  • Experience facilitating meetings and coordinating stakeholders across multiple functions and levels.
  • Intermediate to advanced proficiency in Microsoft Outlook, Excel, Word, and PowerPoint.
  • Excellent written and verbal communication skills, attention to detail, and ability to manage competing deadlines.
Preferred Qualifications
  • Experience with promotional review platforms such as Veeva.
  • Experience supporting multiple pharmaceutical brands simultaneously.
  • Familiarity with regulatory submission workflows and FDA Form 2253.
  • Editorial or promotional material editing experience.
  • Bachelor's degree.
