932093 - Executive Assistant

We are currently looking to recruit an Executive Assistant for a temporary position based in the North of Scotland

The main purpose of the role is

  • As Executive Assistant to the Managing Director, you will act as the key interface managing all workflow and providing dedicated administrative and secretarial support.
  • To provide a full secretarial support service to the Board, including scheduling meetings, producing Board meeting packs and producing Board and committee meeting minutes.
  • In addition, the role provides some administrative support to the Chairperson, Boards and Senior Management Team.
  • Provide extensive diary and inbox management, including the drafting of e-mails, along with call and meeting scheduling
  • Liaising between Managing Director, staff and external organisations.
  • Planning and arranging travel and accommodation for the Managing Director and boards members
  • Managing all Board administration including minute-taking and uploading Board minutes
  • Organising of appointments, events, meetings and workshops involving the Senior Management Team.
  • Raising purchase orders and processing invoices in workflow, checking expense claims, coding credit cards and statements for Senior Management.
  • Minute taking for a variety of Board meetings
  • Build positive and lasting relationships with staff, stakeholders, customers etc. including updating and maintaining associated database

The successful candidate should have:

  • Proven track record of providing executive support to Senior Management
  • Ability to work with discretion, confidentiality and integrity
  • Ability to produce written reports and other documentation to a high standard with strong attention to detail;
  • High level of organisational and prioritisation skills
  • Proven track record of taking minutes and notes at a variety of meetings
  • Excellent IT skills with a strong working knowledge of databases and Microsoft packages, including Word, Excel, Outlook and, PowerPoint
  • Proven track record of efficiently managing diaries, schedules and appointments including complex, executive meetings

This is a temporary position

The rate for this position is negotiable
