Position: Executive Assistant

Position Info:

Work Location: Base Office (30 km away from the city centre)

Position Schedule: ASAP, 1 year renewable

Education: Higher education;

Qualifications & Experience:

Work Experience: Minimum 3 years of experience in a similar role within oil & gas industry;

Knowledge of Languages: Azerbaijani (fluent), English (fluent).

Other Skills/Certificates Required:

Proficiency in standard software for PC such as MS Office;
Strong interpersonal and communication skills

Responsibilities:

• Provide secretarial and organizational support to the Project / Client Management as
required
• Guarantee general secretarial duties and an efficient service to the Project / Client Team
• Know and use spoken and written appropriate foreign languages fluently
• Update appointments calendar, telephone and address references
• Draft incoming and outgoing correspondence, compose and type letters and actions emails
• Organize archives and file correspondence and documentation (paper and electronic), also
using integrated systems and applications if required
• Support the preparation of reports and presentations using appropriate software
• Occasionally attend to meetings, taking notes and write reports
• Arrange attendance to conferences, exhibitions and meetings, including venues and
catering requirements
• Arrange international travel, handling also complex itineraries
• Check Passport and Visa requirements and arrange necessary paperwork
• Prepare the order for all the materials necessary to office activities (stationery, etc.)
• Process project, travel, business expenses, if required
• Be discreet in managing information and tactful / polite in interpersonal relationships
• Fully adhere, at all times and irrespective of the work place, to Company Health, Safety,
Environmental and Quality (HSEQ) policies, procedures and requirements
• Perform other related duties as assigned by Superior
