Administrative Assistant – Global Security
12-month contract to start

Orion Group is partnering with a global pharmaceutical client to support a high-performing, collaborative team environment for their Global Security team in North Chicago.

Key Responsibilities
  • Provide advanced administrative support to senior leaders and teams
  • Manage calendars, meetings, travel, and expense reporting
  • Coordinate onboarding, office setup, and vendor onboarding
  • Prepare presentations, reports, and business documents
  • Handle confidential and business-sensitive information with discretion
  • Track invoices, purchase orders, and budget-related items as needed
  • Support meetings and events, including logistics and catering
  • Utilize Microsoft Office and business systems (e.g., Teams, Zoom, travel & expense tools)
  • Maintain departmental files in compliance with corporate and regulatory requirements
  • Operate with general direction and minimal supervision

  • Ability to manage multiple priorities and deadlines
  • Proactive communicator who raises risks and provides status updates
  • Builds strong relationships and works effectively with cross-functional partners

Qualifications
  • Some college preferred
  • 5+ years of executive-level administrative experience
  • Prior experience in pharmaceutical, biotech, or CRO environments strongly preferred
  • Advanced proficiency in Microsoft Office (experience with Concur, SharePoint, or Visio a plus)
  • Comfortable navigating evolving priorities and complex business processes
  • Self-starter with a “make it happen” attitude
