Orion Group is seeking a detail-oriented Documentation Specialist to support document control and documentation activities within a regulated business environment.
This position will be responsible for coordinating the review, approval, formatting, and maintenance of controlled documentation. The Documentation Specialist will work with internal teams to ensure documents are accurate, properly formatted, routed for appropriate review and approval, and maintained within the organization's Document Management System (DMS).
This is an excellent opportunity for someone with previous document control, records management, quality documentation, administrative documentation, or regulated industry experience who is highly organized and comfortable working with detailed processes and documentation.
Key Responsibilities
The ideal candidate is someone who is highly organized, detail-oriented, and comfortable working with controlled documentation and established processes. They should be comfortable reviewing documents carefully, tracking approvals, following up with stakeholders, and maintaining accurate information within electronic systems.
Candidates do not necessarily need medical device experience. Someone with strong document control, quality documentation, records management, administrative documentation, or DMS experience from another structured or regulated environment could also be a strong fit.
This position may also be a good match for candidates with titles such as Document Control Specialist, Documentation Specialist, Document Coordinator, Quality Documentation Specialist, Records Coordinator, Document Management Specialist, or Quality Systems Coordinator.

- Coordinate and facilitate the review and approval process for new and revised controlled documents.
- Review documentation for completeness, accuracy, formatting, and adherence to established requirements.
- Support document change requests and help facilitate the appropriate review and approval workflow.
- Format and prepare documents according to established templates, standards, and procedures.
- Maintain document records, notifications, and related information within the Document Management System (DMS).
- Track documents throughout the review and approval process and follow up with appropriate stakeholders when needed.
- Ensure required administrative documentation is complete and properly maintained.
- Assist with document revisions, updates, routing, filing, and general document lifecycle activities.
- Maintain accurate and organized electronic documentation and records.
- Work closely with internal teams to answer documentation questions and support document-related requests.
- Ensure documentation activities are completed accurately and in accordance with established processes and timelines.
- Provide general administrative and documentation support to the team as needed.
- High school diploma or equivalent.
- Strong attention to detail and ability to work with documentation requiring a high degree of accuracy.
- Strong organizational and time-management skills.
- Ability to manage multiple documentation requests and priorities.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, particularly Microsoft Word.
- Comfortable working with electronic systems and learning new software.
- Ability to work independently while collaborating effectively with internal stakeholders.
- Ability to work 100% onsite in Tempe, AZ, Monday–Friday from 8:00 AM–4:00 PM.
- Bachelor's degree.
- Previous experience with document control or document management.
- Hands-on experience using an electronic Document Management System (DMS/eDMS).
- Experience processing document revisions, change requests, approvals, or controlled documentation.
- Experience working in a medical device, pharmaceutical, biotechnology, healthcare, manufacturing, quality, or other regulated environment.
- Familiarity with documentation practices in a quality or compliance-focused environment.
