Contract Documentation Specialist 

 Location: Lake County, IL – Hybrid Onsite

 Contract: 1 Year (possible extensions based on performance & business needs)

 Rate: $22.00/hour


Orion Group is seeking a detail-driven Contract Documentation Specialist to join our leading global biopharmaceutical client in North Chicago.

In this role, you will ensure compliant processing of clinical vendor contracts, manage contract documentation, and coordinate financial payment activities that support global clinical trials.

This position requires strong analytical skills, contract knowledge, and the ability to work independently in a fast-paced, deadline-driven environment.


Key Responsibilities

  • Maintain contract documents and data in compliance with Corporate Purchasing, Finance, and OEC policies
  • Perform ongoing contract entry and updates for Clinical Study Agreements (CSAs) and vendor contracts
  • Audit and reconcile financial contract records using corporate financial systems
  • Interpret clinical contracts and payment terms to ensure accurate payment processing
  • Manage and track Purchase Order payment requests using invoice screening tools and trackers
  • Collaborate with Clinical Teams, Analysts, Outsourcing, and Payment Specialists
  • Identify, investigate, and resolve payment discrepancies and vendor disputes
  • Provide reporting and database maintenance to support operational transparency
  • Communicate contract and payment status updates to leadership
  • Support continuous process improvements and contribute to contract compliance efforts

Required Qualifications

  • Education:
    • Bachelor’s Degree + 1 year of relevant experience OR
    • Associate’s Degree + 2 years of experience OR
    • High School Diploma + 5 years of relevant experience
  • Strong MS Excel proficiency and experience working with databases
  • Ability to work independently using strong critical thinking and problem-solving skills
  • Excellent organizational skills with the ability to manage multiple priorities
  • Strong verbal and written communication skills
  • Experience with contracting, finance, accounts payable, or clinical research

Preferred Qualifications

  • Understanding of Global Clinical Study processes
  • Prior experience with:
    • SAP, RAVE EDC, MIDAS, Quantum, COMPASS, or similar systems
    • Clinical outsourcing, vendor contracts, or payment management
  • Familiarity with contract terminology and payment schedules
  • Ability to analyze contract and invoice discrepancies with high accuracy
  • Experience working in a regulated environment (pharma/biotech preferred)
