Contract Coordinator (3-Month Contract)

Schedule: Mon–Thu onsite, Fri remote

Orion Group is hiring for our pharmaceutical client in Irvine to support their contracting engine—reviewing, redlining, routing, and tracking a high volume of agreements — so internal teams and external partners can execute work on time and in compliance. This is a hands-on, contract-heavy role in a fast, high-performance environment.

Orion Group is hiring for our pharmaceutical client in Irvine to support their contracting engine—reviewing, redlining, routing, and tracking a high volume of agreements — so internal teams and external partners can execute work on time and in compliance. This is a hands-on, contract-heavy role in a fast, high-performance environment.
What you’ll do
- Own the contract lifecycle in our contract management system (create records, upload drafts, version control, approvals, e-sign, closeout, and repository hygiene).
- Review, draft, and redline a range of agreements (e.g., NDAs, MSAs, SOWs, POs, change orders, amendments, renewals, supplier addenda) using playbooks and fallback language.
- Coordinate cross-functionally with Legal, Procurement, Finance/AP, InfoSec/Privacy, and business owners to resolve comments, align on terms, and drive timely signatures.
- Ensure compliance & due diligence (policy alignment, required exhibits, COI/W-9 collection, debarment/OFAC/vendor checks as applicable, record retention, audit trail).
- Monitor SLAs and cycle times; triage the intake queue, escalate blockers, and keep stakeholders informed with crisp status updates.
- Improve the process by spotting bottlenecks, proposing template tweaks, and streamlining workflows/playbooks.
- Maintain data accuracy (metadata, clause tags, obligations) and surface obligations/renewal dates before they hit.
- 3+ years in a contract-heavy role (contracts, procurement, purchasing, vendor management, or similar) with daily redlining/routing responsibility.
- CLM/contract system experience (e.g., Icertis, Ironclad, Coupa, Ariba/SAP, Agiloft, DocuSign, Adobe Sign). SAP exposure is a plus.
- Proven ability to read and interpret commercial terms (payment, SOW scope, deliverables, SLAs, data/privacy, IP, indemnity, limitation of liability).
- Strong track record of meeting throughput targets in a high-volume, deadline-driven environment.
- Excellent written and verbal communication; confident partnering with attorneys, vendors, and senior stakeholders.
- Education: BA/BS preferred (or equivalent 2+ years of undergraduate study). Relevant experience may substitute.
- Contract-first mindset: you’ve lived in redlines and know when to push, when to escalate, and when to use fallbacks.
- Analytical & organized: you manage a busy queue, set priorities, and never lose the thread on versions or obligations.
- Self-motivated: you take ownership, anticipate roadblocks, and close loops without hand-holding.
- Team standards matter: you thrive among high performers—visibility is high and results are measured.
- Sound judgment: you balance speed with risk, and you know when to call Legal vs. proceed per playbook.
- Experience supporting RFPs/RFQs, supplier onboarding, or vendor risk/InfoSec questionnaires.
- Familiarity with privacy/security terms (DPA, BAA) and basic regulatory frameworks (e.g., GDPR/CCPA, SOX).
- Light reporting skills (Excel/Sheets, dashboarding) to track cycle time, throughput, and SLA performance.
- Intake to signature cycle time reduced for your queue; SLAs consistently met.
- Zero audit findings on file completeness and metadata accuracy.
- Stakeholders cite clear communication and fewer surprises in status and requirements.
- At least one process improvement (template, checklist, or workflow) adopted by the team.
