Archives Records Specialist I
Location: Worcester, MA
Contract: 12 months to start
Schedule: Monday – Friday, Standard Business Hours
Pay Rate: $25/hour



Orion Group is seeking a detail-oriented Archives Records Specialist I to support our pharmaceutical client’s Records Management team by organizing, cataloging, and preparing physical records for archival storage.
 This role is ideal for someone who thrives in a structured environment, enjoys hands-on work, and is motivated by process accuracy and document organization. You’ll work both independently and within a team to support records life cycle activities and ensure compliance with established procedures.

Key Responsibilities
  • Sort and review physical records for processing and archival preparation
  • Create detailed inventory lists and maintain documentation logs
  • Capture and enter accurate metadata into Excel (RMA sheet)
  • Organize and prepare records for migration into the Records Information Management System (RIMS)
  • Pack and label record boxes for shipment to offsite storage vendors
  • Maintain daily progress reports and activity metrics
  • Follow all Standard Operating Procedures (SOPs) and records management compliance requirements
  • Safely handle and move record containers (up to 25 lbs)
  • Utilize RIMS and other records management tools as directed
Qualifications
  • High school diploma or GED required; college coursework preferred
  • 0–2 years of experience in records management, archiving, libraries, or clerical administration
  • Strong attention to detail and accuracy
  • Proficient in Microsoft Excel (intermediate level) with ability to work in Word and PowerPoint
  • Experience with document or records management systems a plus
  • Excellent organizational and communication skills
  • Ability to follow processes and work independently or in a team
  • Comfortable working in both office and warehouse environments
Preferred Experience
  • Experience in a pharmaceutical or regulated industry
  • Familiarity with records lifecycle management
  • Prior use of RIMS or similar systems

Taking a box of files and documents, entering the details into the computer system in a spreadsheet, and then moving it to another area of the office. There are two systems they use for archiving documents, with basic data entry screens.
Some boxes might be easier to sort through others, about 12 boxes a day.
Preferred pharma experience since those individuals know the importance of accuracy with the data that is entered into spreadsheets and systems.
Rim's experience would be preferred.
