Orion Group is hiring an Administrative Assistant who provides essential administrative and operational support for our pharmaceutical client in a fast-paced, collaborative environment. This role supports daily business activities, including calendar management, travel coordination, onboarding support, and departmental organization. The ideal candidate is proactive, detail-oriented, technically proficient, and comfortable juggling multiple priorities while supporting cross-functional teams.
Key Responsibilities
- Provide general administrative support to the organization; may provide backup support to senior leadership as needed.
- Manage calendars, schedule meetings, and proactively resolve scheduling conflicts.
- Coordinate domestic and international travel arrangements and prepare associated expense reports.
- Utilize intermediate to advanced software skills to complete assignments, including Microsoft Office Suite and business-specific systems (e.g., corporate travel platforms).
- Support new employee onboarding, including coordination of logistics and documentation.
- Ensure compliance with Corporate and Divisional policies and procedures, including purchasing, requisitions, security, privacy, and branding guidelines.
- Maintain and organize departmental files in compliance with corporate and government regulations.
- Build strong working relationships with peers and cross-functional partners.
- Contribute as a team-oriented, dependable member of the organization with a positive, “can-do” attitude.
- Adapt quickly to changing priorities and business needs.
Qualifications
Required:
- High School Diploma or equivalent (some college preferred).
- Minimum 2 years of administrative experience or equivalent, preferably in a large, fast-paced environment.
- Intermediate to advanced proficiency in Microsoft Office Suite (Outlook, SharePoint, Word, Excel, PowerPoint).
- Ability to work independently with general supervision; strong organizational and time-management skills.
- Self-starter with strong attention to detail.
- Excellent interpersonal and communication skills.
- Ability to multitask, prioritize effectively, and meet deadlines.
- Quick learner who can pivot easily in a dynamic environment.
- Team-oriented mindset with a strong desire to contribute to overall organizational success.
Work Environment
- Hybrid work model with required onsite presence Tuesday–Thursday.
- Primarily sedentary office role.
- May require periods of sitting, standing, and walking.
