Vacancy: Administration Assistant

The Client are looking for an experienced Administration Assistant to join their team. Reporting to the Operations Manager, the successful candidate will provide admin and reception support throughout the Operations department.

Key responsibilities:

* Answer all incoming telephone calls in the absence of the Port Office Receptionist/welcome visitors to the Base Office

* Reception/information point

* Provide administration support to Operations, Maintenance, Cruise and HSEQ Teams

* Support Site Safety and Security Induction process

* Support Service Base Meetings (Minutes)

* Security & Customs administration duties

* Issuing crane/plant licenses/overseeing paperwork

* Creating purchase/sales orders as and when required

* Ordering of furniture supplies/stationery

* Booking flights, car hire, accommodation for Client employees - as and when required

* Preparing/circulation of shipping reports

* Compiling weekly storage log sheet/maps/sales orders

* Fuel tank readings/fuel tankers (monthly) sales orders/monitoring fuel tankers entering the Facility

* Cleaning Contract: Inspection of toilet blocks, locker room & offices, check working hours to invoicing hours and order cleaning materials - initial point of contact etc

* Printer Meter Readings / Consumables

* Emergency Response Materials Buyer/Supplier/Distributor Supply Chain Management

* Other duties as required from time to time in order to meet the needs of the business

Desirable Experience & Attribute Requirements: Experience working in a similar role; approachable; adaptable; flexible approach to work; team player; use own initiative; prioritise workload; proficiency in MS Office (MS Excel and MS PowerPoint, in particular); strong organizational skills with the ability to multi-task; excellent written and verbal communication skills; knowledge of office management systems and procedures; working knowledge of office equipment; like printers and fax machines; High school diploma, additional qualification as an Administrative assistant or Secretary (Desirable)
