Account Coordinator II
Location: Irvine, CA
Work Schedule: Monday–Friday, 9:00 AM–5:00 PM PT
Hybrid Schedule: Onsite Tuesday–Thursday | Remote Monday & Friday
Contract: 12-month initial contract
$21-$26/HR based on benefit selections


We are seeking a highly organized and proactive Account Coordinator II to support the day-to-day execution of client projects within a fast-paced agency environment. This role will manage project details from initiation through completion, coordinating across internal teams, clients, and Medical/Regulatory partners to ensure projects are completed accurately, on time, and within budget.

The ideal candidate is a strong communicator and self-starter who can independently manage multiple priorities while maintaining accurate project documentation, timelines, budgets, and status reporting.

Key Responsibilities
  • Manage day-to-day details of assigned client projects from initiation through completion with minimal supervision.
  • Coordinate project timelines, deliverables, approvals, budgets, and documentation to ensure work remains on schedule.
  • Partner with internal Creative, Production, Traffic/Project Management, and other agency teams to support successful project execution.
  • Maintain regular communication with leadership regarding project status, priorities, potential delays, and other issues.
  • Interface with clients regarding project schedules, deliveries, estimates, and other account-related needs.
  • Prepare projects and supporting documentation for Client and Medical/Regulatory review and approval.
  • Coordinate review cycles and communicate Client and Medical/Regulatory feedback to appropriate internal teams.
  • Assist with creative development activities and provide relevant project information to Creative teams.
  • Develop accurate project estimates in partnership with Creative, Production, Traffic, and other departments.
  • Monitor project expenditures and provide timely reporting of budgeted versus actual costs.
  • Work cross-functionally to control project costs and maintain established budgets.
  • Develop and maintain project requisitions, timelines, tactical calendars, status reports, meeting/conference reports, and other account documentation.
  • Ensure agency paperwork, estimates, billing information, timelines, and project files are accurate and properly maintained.
  • Support administrative account activities including opening jobs, reporting, archiving, and organizing project files.
  • Handle multiple projects and shifting priorities in a fast-paced environment while maintaining attention to detail and confidentiality.
Required Qualifications
  • Bachelor's degree or equivalent combination of education and relevant professional experience.
  • Approximately 3–5 years of professional experience within advertising, finance, professional services, account coordination, project coordination, or a related business environment.
  • Strong administrative, organizational, and project coordination skills.
  • Demonstrated ability to manage multiple projects, deadlines, and competing priorities simultaneously.
  • Self-starter with the ability to work independently with minimal supervision.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to collaborate effectively across teams and with clients.
  • Strong attention to detail and ability to maintain accurate project documentation.
  • Ability to exercise sound judgment and discretion when handling sensitive or confidential information.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
Preferred Qualifications
  • Experience within healthcare or pharmaceutical marketing/advertising.
  • Experience working with Veeva Vault or similar Medical/Legal/Regulatory review systems.
  • Familiarity with Medical/Regulatory review and approval processes.
  • Basic accounting, budgeting, estimating, or financial tracking experience.
  • Previous experience working within an advertising agency, marketing agency, or other client-service environment.
Ideal Candidate
The strongest candidate will be someone who is highly organized, comfortable owning projects from start to finish, and able to keep multiple stakeholders aligned. They should be comfortable balancing administrative responsibilities with client communication, project coordination, budget tracking, documentation, and cross-functional collaboration.
This position is well suited for someone with an account coordination, agency project coordination, marketing operations, or client services background who enjoys keeping projects organized and moving forward.
