Site Secretary

Reports to: Site & Commissioning Project Manager

Overall Role: The Site Secretary is responsible for assisting the Lead Service & Administration

Key Responsibilities:

The Site Secretary assists the Lead Service & Administration in all tasks below:

Phone and Reception Services:

  • Creating and Maintaining Site personnel contact list.
  • Receiving guests & deliverables. Arranging lunch for meetings on site.
  • Distributing incoming mail.
  • Booking accommodation and taxis for visitors.
  • Directing phone calls where necessary.
  • Proving IT support and reporting IT errors.
  • Keeping overview of the site staff calendars.
  • Keeping a log book of the site visitors and retrieving book in case of fire.
  • Handling the keys.
  • PONDUS support regarding the filing documents.

Accounts, Invoices, SAP etc…:

  • Check invoices, doing the accounts, opening of accounts.
  • Managing Utility bills, purchase orders and budgets.
  • Managing petty cash when necessary.
  • Assistance in connection with systems, SAP registration i.e. time registration.

Purchase:

  • Purchasing stationary supplies and merchandise.
  • Produce a site inventory list.

Meetings, Events etc…:

  • Scheduling and sending out meeting requests for site meetings. Take minutes.
  • Proofreading and correspondence and organising team events and social activities.

Introduction, induction and training:

  • Providing introduction/information to new personnel on site, including handing out manuals.
  • Organise site inductions. Assist new personnel when required.
  • Booking and following up of required safety courses as instructed by HSE Lead.
  • General support of staff on site.

Qualifications:

Relevant education: Business School or similar.

Years of relevant experience: 3-5 years as secretary on a construction site or similar working environment.
