Purpose or Role

To manage Business Collaborator and other associated document management systems. Manage, issue and receipt of all documents to/from the client and/or suppliers. Manage the interface between the client's means of communications with document management system.

Key Deliverables

  • Upload and manage interface with the clients DMS and BBB JV document management systems (DMS)
  • Format and generate reports from the DMS when required
  • Modify the fields and databases/folder structure/automatic reporting/screen layouts of the BBB JV DMS
  • Ensure all documents received have been provided with the correct identifications and metadada
  • Circulate as required via the DMS all drawings and documents for information/comment and approval
  • Issuing of all documents via the client DMS or any other DMS system
  • Enter details of and scan technical documents and correspondence into the Document Database as soon as they are received (technical documents include drawings (preliminary and working), all submission data, design changes, site requests, certificates, permits and related method statements, plans, procedures and other documents considered relevant
  • Marking up superseded documents both on the hard copy and on the Document Register and filing superseded documents
  • Filing technical documents after registering and distribution
  • Produce transmittal notes for any documents that require them. Checking acknowledgements of transmittals on a regular basis and chased up as necessary
  • Monitor the action close out function of the DMS and report on the close-out of the actions
  • Provide advice, guidance and training to team members in document control process.
  • Meet as required with client document controller / document control team, to review and assist in resolving issues related to transfer of documents and processes.

Qualifications, Experience & Training

Qualifications-

  • Bsc/Msc withing Business Administration/ Business Acumen, or Relevant experience.

Essential-

  • In depth knowledge of a central, shared document control system, such as Business Collaborator DMS
  • IT literate, including Word, Excel, Access and Outlook

Experience (desirable)-

  • Supporting document control on a major construction / engineering project
