Job description

Our client is currently recruiting for the position of Proposals Coordinator, based in Aberdeen.

Responsibilities:
* Providing close support to the Tender Manager and coordinating all the administrative aspects of supporting bid submission
* Ensure all documentation received from client is correct and as described in the ITT
* Establishing the supporting systems and platforms required for the bid submission - including SharePoint Online, Document Review Matrix, Xaitporter etc.
* Managing all communications from client and sharing with the relevant members of the bid team (and storing these in SharePoint Online). Updating Communications Logs and ensuring Clarifications and bid relevant information is received by all key members of the bid team and a timely return in line with deliverables.
* Setting up an Xaitporter Site and assigning the deliverables to the correct stakeholders.
* Identifying what and who is required on this proposal and ensuring they are granted access and know where all information is.
* Champion and encourage the use of all of our compliant tools and processes, and drive organisation to use these correctly every time to maintain high quality bid submissions
* Preparing and Responsible for the final quality and standard of the Bid Submission layout ensuring it is compliant, covering all key deliverables and stands up and out as first class document.
* Provides continued ongoing support to team through post bid clarification phase until Bid Award.
* Ensure the Xaitporter OFE Library has input from major Stakeholders to keep the information updated and " bid ready" when required ( Previous Experience lists, Financial Statements etc)
* Share best practice with other Global Coordinators and on receipt of new updated documents store in OFE Xaitporter Library and advise all Coordinators so this can be used in future bids.
* Lead internal incentives to maintain Facility Datasheets, Product Line Technical offerings and work closely with Marketing/ Communications constantly seeking and ensuring improvements are secured.
* Maintain Commercial Excellence ensuring all cover letters have BH Entity and correct T&C's are attached as advised by Legal Team.
