International energy company requires a Team Secretary for their offices in Central London. The successful Team Secretary will be supporting the Project Teams on a day to day basis and acting as Assistant to the Head of Project Management and Senior Vice President.

12 month Fixed Term Contract

This is a very fast paced and demanding role therefore experience within an international oil and gas or related company is essential.


  • Word and Excel skills (Intermediate to Advanced), Microsoft PowerPoint
  • Experience of working within a fast moving, global organization


  • Experience working on setting up of templates, preparation and formatting of documents and spreadsheets
  • Ability to speak Kazakh and/or Russian (not essential)

Project Work:

  • Support all administration duties on the Project Teams:
  • Preparation of Templates for the various projects, Word documents, Excel spreadsheets and Recording Logs, help any project team members with the set up and formatting of documents
  • Check and correct the formatting of documents before issuing to Clients
  • Filing all Projects Correspondence
  • Replenish Project Teams stationery supply & paper stock weekly and keep printers in working order

Client Support:

  • Meet and greet and responsible for carrying out Office and Safety inductions
  • requirements/support
  • Liaising with IT to set up the IT requirements, prepare Wi-Fi passwords
  • Travel, Hotel and Taxi bookings/queries
  • Organising Team building events (sightseeing, dinners etc.

Other Administration Duties:

  • Reception cover as and when needed
  • Client office / safety inductions
  • Assist with formatting / reviewing admin documents on ad hoc basis
