PURPOSE OF THE JOB

The Restoration and Renewal Programme has been established to tackle the significant work needed to protect the heritage of the Palace of Westminster and ensure it can continue to serve as home to the UK Parliament in the 21st century and beyond.

Given the poor condition of the fabric and systems of the Palace, the House of Commons Commission and House of Lords House Committee agreed that a major programme of restoration and renewal work must be carried out to protect and preserve the legacy of the Palace for future generations. To provide high level administration support to the Programme team.

Work with the administration team on a variety of ad hoc projects within the programme.

QUALIFICATIONS / EXPERIENCE / SKILLS REQUIRED

  • Preferably educated to degree level
  • At least 5 years; experience in a similar role, working as a team administrator for a team
  • High level of personal integrity, diplomacy and discretion
  • Robust, confident personality and able to remain calm and good humoured under pressure
  • Flexible, task driven and committed approach to work
  • Team player with strong interpersonal skills and able to deal effectively with colleagues and clients at all levels
  • Able to think proactively, show initiative and take action where appropriate
  • Possess strong organisational and time management skills; able to multi-task and work with minimal supervision
  • Able to manage and prioritise his/her own workload according to the constantly changing priorities and deadlines of the various tasks and responsibilities assigned
  • Strong attention to detail and produce work with a high level of accuracy
  • Advanced level of MS Word/Excel/PowerPoint/Outlook and experience of using the Internet as a research tool including knowledge of internet/intranet protocol, search engines, secure sites etc.
  • Accurate typing skills, typing 60 wpm minimum

DUTIES AND RESPONSIBILITIES

  • Complex diary management across three organisations (internally) plus any external stakeholders
  • Taking minutes at meetings, circulating within designated timeframe and managing meeting action logs
  • Provide a high standard of effective secretarial support, often under pressure to include:
    • Collate information and assist with production of presentations and reports
    • Organisation and preparation of meeting papers
    • Produce complex PowerPoint presentations and organisation charts
    • General typing and formatting of reports, letters etc.
  • Greet visitors and deal with any needs or general enquiries that they may have to ensure they are made to feel comfortable and welcome
  • Take necessary care to properly protect the confidentiality, integrity and availability of corporate information from unauthorised disclosure, modification or destruction. Never knowingly put information or information systems at risk
  • Act as a role model for vision and values, behaving in ways that are in alignment with ways of working. Encourage and support others to do so too
  • Promote equality in the workplace and adopt appropriate behaviour when interacting with colleagues

SECURITY

Selected candidate will be required to successfully complete pre-employment checks. This includes security vetting to Counter Terrorist Check (CTC) level unless otherwise specified.

They may also be required to be cleared to an SC level at a later date.

Applicants should be aware that if they have resided outside of the UK for a total of more than two of the last five years, they are not usually eligible for vetting (this will be assessed on a case by case basis).
