Job description

Our Energy Specialist client based in the West End is seeking a PA/Secretary for a period of 3 weeks from the 10th October 2022.

Candidates should be available from the 10th October and be experienced in supporting offices with secretarial duties

Responsibilities:
* Cover of our reception.
* Diary management, co-ordinating arrangements for meetings and where applicable conferences
* Co-ordinating and booking travel arrangements and planning itineraries as required for the company's Technology Centre leadership team
* Screens telephone calls, emails and / or visitors
* Sends out routine letters and emails and drafts more complex correspondence for principals' final approval
* Assembles relevant data and compiles information as directed
* Answers routine questions and responds to correspondence
* Organises and expedites flow of work, initiating follow up action where appropriate
* Attend meetings and take minutes as required
* Order and arrange payment of a variety of goods and services required by the relevant managers
* Processing expenses
* Organise team meetings and workshops
* You will support the company's D&I agenda by creating an atmosphere with inclusion at the heart and diverse thought and characteristics are encouraged. You will support your team's active participation in company's STEM programme which is complimentary to the company's activities.
* Additional relevant ad hoc tasks and projects as agreed with your line manager.

* Flexibility in all things the company is a small team and often do the unexpected!
* Ability to deal with highly sensitive and confidential information
* Highly proficient in the use of MS Office (e.g., Word, Outlook, PowerPoint, and Excel)
* Produces documents and presentations to Executive meeting standards
* Organises conferences as required by role
* Composes letters to a high standard
* Arranges and makes decisions regarding complex travel itineraries.
* Provides effective and efficient administrative service
* Maintains and monitors departmental budgets ensuring prompt and accurate payment of invoices and expenses
* Takes responsibility for project co-ordination within agreed timelines
* Ensures Director's / Managers phone is always covered
* Shares company knowledge and procedures to help others achieve their objectives
* Excellent knowledge of Microsoft Office applications.
*A relevant business or technical degree or relevant industry experience.
