Job description

Our client is currently recruiting for the position of Office Administrator / IT Assistant., based in Aberdeen.

Responsibilities:
* Manning front office activities to ensure its daily operations running smoothly, and to maintain the cleanliness and image of the office and office appearance, including answering incoming calls
* Responsible for giving all visitors an emergency preparedness briefing in accordance with Company Guidelines
* Coordination and assistance in internal and external meeting room; reservation, preparation and to make sure that the meeting room is kept tidy and adequately stocked at all times
* Update information in switchboard and car registration directory system
* Administration and control of gym, temporary office access and car park passe
* Update power point presentation for visitors to display in the office
* Office space/allocation of desks for employees and visitors
* Administration and smooth handling of all post, courier communication
* Scanning, coding and sending invoices to finance for registration in IFS and code accordingly
* Arranging taxis as and when required, make travel, transport and accommodation arrangements for visiting staff as needed
* Ensure sure that the social areas and print areas are tidy and adequately stocked at all times
* Administration of first aid, stationary and other office/pantry supplies as required,
* Be a member of the office emergency team (evacuation, first aid, fire control etc.). Keep up to date first aid and fire warden posters
* Monthly preparation of company credit card reconciliation
* Reporting and liaising with Facility Management and/ or relevant 3rd party for faulty equipment
* Prepare signage for desks and office
* Support the HC and other departments on projects and initiatives as needed
* User Account Administration (Create/Modify/Terminate)
* Handling of GSD Support Tickets & Monitoring
* Staging of Machines and Deployment
* Asset Inventory
* Recycling of old IT Equipment
* Desk & Meeting Room Setup
* Ordering of IT Equipment

Experience & Qualifications:
* HNC level
* Previous experience in administrative or IT role required
