The Orion Group are seeking a Senior Administrator to work with our large multinational client in Dublin 4.

The role is an initial 12 month contract position initially but may be extended beyond this.

Job Duties & Responsibilities

  • Support the Management team for Ireland with key activities and requests;
  • Provide reception and phone cover as required from time-to-time.
  • Assist in oversight and project management of a new office fit-out and set up
  • Assist in developing office procedures and manuals
  • Book appointments and organize meetings including ordering catering and setting up for meetings;
  • Provide support for internal and external meetings, including preparation of agenda, pre-meeting briefings and papers and follow up actions
  • Plan and coordinate special events, lunch & learns, field trips, workshops, seminars and other special meetings (venues, catering, invitations, meeting materials, audio visual, etc.);
  • Arrange travel including flights, hotel accommodations and car rentals;
  • Help prepare presentations (PowerPoint);
  • Help prepare and format reports and communications (Word);
  • Create graphs, charts and spreadsheets (Excel);
  • Gather data and input for monthly meetings and assemble into standardized formats
  • Help maintain team electronic filing system;
  • Manage General and Administrative budgets for areas of responsibility;
  • Administer SAP functions including invoice approvals;
  • Assist with workforce planning and tracking (new hire onboarding, updating of organizational charts, vacation tracking, etc.);
  • Assist with general administrative duties as required (time entry, Visa statements, promotional items, photocopying, etc.);
  • Assist other departmental administrative assistants as required;
  • Perform other duties as requested/required.

Education & Experience

  • Superior communication skills (written and verbal);
  • Must have a high degree of accuracy, attention to detail and proven administrative skills;
  • Excellent organizational, planning, interpersonal and communication skills (verbal and written) and ability to maintain a high degree of confidentiality;
  • Self-motivated with ability to work independently and balance multiple demands, including prioritizing and meeting deadlines and managing projects;
  • Must be a flexible and enthusiastic self-starter with a positive attitude and a willingness to work on a variety of projects, big or small;
  • Proficient in Microsoft Office programs such as Outlook, PowerPoint, Excel and Word;
  • Experience in SAP would be an asset but not essential;
  • Ability to handle sensitive information with discretion and maintain confidentiality at all times
  • Interest or background in marketing/communications an asset
