We have an immediate requirement for an HR Personnel Logistics Coordinator for our oil & gas service company client based in Bridge of Don Aberdeen. Candidates must be available to start on Monday 7th June 2021 and the contract will initially be for 4-6 weeks with the potential to run on longer. It is an office based role so Aberdeen/Shire based candidates can only be considered.

You will have previous experience of crew change logistics, booking travel and accommodation, checking visa's and certification etc.

Responsibilities:

Working with the Services Operations Managers to implement business improvements and efficiencies and drive this throughout the business.

* On-time mobilisation of personnel to client departure points in UK and Internationally.

* Responsible for personnel logistics - organising accommodation, flights and supplying the necessary documentation required for mobilisation and ensure the planners are updated with all movements.

* Superuser of Onboard people tracker - attending and leading monthly update sessions to ensure compliance.

* Support Operations Managers with the administration and coordination of competency assessments and assist with recording in the database system.

* Liaise with clients regarding scope of works (telephone, email and customer facing) and ensure a high level of customer care and a quality service.

* Liaise with travel partners to ensure competition rates and excellent service delivery

* Assist in the organisation and coordinate all visa applications.

* Monitoring expiry dates and support with booking training, vaccinations and medicals as required. Recording certification in relevant databases.

* Supervision of day-to-day tasks of small support function team

* Performance management, goal setting and development of direct reports

* Oversee the timely processing of Invoices and job close out.

* Oversee the placement of Purchase Orders.

* Maintain an up to date and organised filing system for all live and archived documentation, both electronic and hard copy, to ensure company procedures are being followed.

* Provide administrative assistance and support throughout the business as required.

* Assisting with HSEQ audits.

Experience & Qualifications:

Experience in working to tight deadlines

Personnel Logistics Experience in similar role

Supervisory experience

Oil and Gas Experience
