Seeking a permanent, full time role in an international energy company based in Central London?

If yes, read on!

Leading global company is seeking an experienced EA for their offices in Central London. This is a new role and will suit someone who is experienced or someone who has a few years experience but has the right attitude and ability.

Ideal Candidate

  • Experience of supporting at all levels - VP/Directors/CEO/Department Managers....
  • Experience of supporting large teams
  • Profession in presentation and manner
  • Confident, clear and concise communication skills both verbal and written
  • Meticulous attention to detail
  • Exceptional IT skills - Word, Excel & PowerPoint (training provided for internal systems)
  • Time management and Highly organised
  • Adaptable, Persistent, Persuasive, Assertive and Personable

Duties

  • Extensive diary management including prioritisation, screening diary requests and forward planning
  • Inbox management
  • Complex travel organisation including visa and other relevant documents - UK & International
  • Monitoring daily incoming meeting requests, dealing with team member's emails as appropriate. Arranging meetings, conference calls, or coordination of regular team meetings, taking minutes and managing follow up actions as required.
  • Processing invoices and accounts, and/or liaise with accounts to ensure appropriate payments have been made, as well as expense processing and reconciliation.
  • Production of presentation materials, as well as maintaining the status and provision of updates of internal projects as required.
  • Ensuring any documents requiring authorisation are signed within agreed time frames and processed smoothly, coordinating and preparing meetings, including communications, room facilities, agenda, IT set ups and any other requirements.
  • Order stationary, filing, ordering business cards, coordinating any required facilities changes, as well as raising IT problems and requirements.
