Job description

Our client is currently recruiting for the position of Executive PA, based in London.

Responsibilities:
* Management of extremely busy diaries
* Organising travel and accommodation (which can be complex)
* Planning and organisation of extended team meetings and team events, including logistics scheduling and management
* Tracking and coordinating invoices through to approval and payment along with expenses in SAP
* Formatting and typing presentations and other correspondence as required
* Saving, filing and archiving of documents in the company systems
* Implementing and maintaining office filing systems
* First point of contact for all incoming calls for Execs and coordinating any visitors with reception
* Extensive and efficient email correspondence
* Answering telephone calls in a timely fashion, taking clear and detailed messages
* Ensure the smooth running of the business and ongoing effective communication
* Providing cover for other PA's when necessary
* Provision of administrative support for the London based team members, e.g. scheduling major meetings, preparing formal presentation materials
* Attending team meetings on a regular basis and following up any actions
* Emergency Response administrative support
* Respond to any other reasonable request

Experience & Qualifications:
* Previous experience at a similar level
* Excellent written and verbal communication skills
* Competent with Microsoft Office suite
* Professional communication skills
* Willing to work outside of hours if the situation arises
* Extremely organised, accurate and detail-orientated
* Focused and responsive i.e. contactable outside of office hours
* Takes initiative and think outside the box to find solutions
* A collaborative team player who seeks out opportunities to support the wider team
* Proactive and able to work effectively under pressure
* Office based but with flexible working agreed within the EA team to ensure all share work life balance
