Job description


We are seeking a Departmental Coordinator for our Oil & Gas Operator client based in Aberdeen. Although in a business support role the position will be an ideal career steppingstone for a graduate in mechanical engineering.

Please note that due to the contractual nature of this role it would not be suitable for Visa sponsorship.

Responsibilities:
* Assist with the management of G&A costs within the department
* Organise department external events / offsites including all aspects of travel
* Co-ordinate Project Sub-Committee Schedule and accompanying paperwork
* Co-ordinate the PDP Windscreen
* Collate and prepare weekly reports and submit within timescale
* Co-ordinate Calgary personnel visits
* Co-ordinate department safety / project / service awards
* Assist with diary management and co-ordinate communication where applicable
* Assist with the completion of expenses
* Ensure all electronic paperwork has been received ahead of key meetings
* Business Analyst/ Tableau super user
* Schedule offshore visits (PEFS)
* Raise Gabon PO's using Maximo
* Document control for the department
* Provide support to the department's Technical Assistant
* Prepare NS Drilling Schedule, WA Schedule & Well Services Schedule
* Co-ordinate department weekly duty rota
* Order PPE for the business using Maximo
* Provide cover for the PA to MD
* Book travel as required whilst demonstrating use of low-cost travel
* Manage department subscriptions
* Typing/ Reformatting of documents
* Co-ordinate department whereabouts using e-leave
* Order stationery I maintain stationery cupboard for the business
* Co-ordinate key departmental events e.g., departmental meetings
* Assist Finance with obtaining the department's monthly time writing
* Organise new starts/ leavers/ movers within the department and follow the appropriate processes
* Maintain People Gallery for the department where applicable
* Raise OTRs using Maximo where applicable
* Update department organisation chart/ floor plans
* Maintain department co-ordinator's procedure manual
* Maintain departmental intranet page and e-mail distribution lists
* Manage department Barclay card
* Offer co-ordinator support to other departments during busy periods / absences
* Co-ordinate COi travel for the business
* Co-ordinate crewing lists in conjunction with the Logistics Dept and offshore planners
* Amend offshore Rota when cover is required and re-book flights accordingly
