Our client is currently recruiting for the position of D&W Department Assistant, based in Aberdeen.

Responsibilities will include:
Administer access for externals on behalf of D&W Leader.
o SAP access registration
o IT equipment ordering
o Badge administration
o Updating records due to expire
o Support for gaining access to Company IT systems
o Distribution lists, security groups & group mailboxes

Monthly Reporting to Stakeholders
o Monthly headcount reporting
o Organise input to monthly reports in various formats and IT applications

Expert level user of MS Office applications:
o At a minimum: Excel (including writing VBA macros), Word, PowerPoint, & SharePoint
o Exposure to Office 365 tools a plus (Power BI, Flow, PowerApps, Teams, Planner, etc)

Updating department visual aids: magnetic wall, lean board, and display screens
Participating in the departmental communication activities within the engineering group: issuing internal D&W information within the department.
Maintaining Office 365 Planner and Teams apps to facilitate team collaboration
Organising meetings and telecoms on behalf of Head of D&W and Leader D&W
Support for administering Head of D&W and Leader D&W agenda and communications

Qualifications
Strong commitment towards HSE
Thorough knowledge of Company governing systems
Degree or relevant qualification / experience

Experience
Ability to keep on top of all administrative tasks
Strong interpersonal skills
Effective time / diary management skills
Strong proficiency in IT applications: including Microsoft Office 365; Microsoft Planner; Microsoft Teams; Microsoft Flow; Microsoft Project; and use of Macros in Ms Excel.
Experience working with Continuous Improvement methodologies and mindset (Lean)
Exceptional level of analytical thinking, rigour, and attention to detail
