Leading energy company based close to Paddington, London is seeking an experience Administrator to support the team.

The Corporate Assistant reports to the HR & Corporate Manager and is responsible for providing administrative support in the areas of corporate infrastructure, IT projects, Company Intranet and reporting.

  • Manage the Company Location Schedule, updating and input of personnel whereabouts.
  • Work closely with the PA/Office Manager in the development and implementation of internal news and communications, making best use of the Company intranet (SharePoint).
  • Work with PA/Office Manager in the design, and implementation of corporate intranet pages (SharePoint) incorporating useful and helpful tools and templates for the organisation to use.
  • Work closely with Document Management colleagues for the transfer of associated Corporate/HR Policies, prior to go-live.
  • Act as interim Office Manager in cases of absence e.g. vacation.
  • Support the C&R team and HR/Corporate Manager in the management of website developments and changes, organising a single line of communication to the Company website administrators.
  • Update the manpower plans and organisation charts monthly.
  • Assist in the reporting of Corporate and Social Responsibility, monthly, quarterly, twice yearly and annual, liaising with recruitment agencies where necessary to ensure timely receipt of reports.
  • Support the HR/Corporate Manager in the monitoring of supplier performance.
  • Support the process of obtaining ISO Accreditation for example supporting closure of any actions arising from audit, policy and/or template research.
  • Manage the on-boarding of new starters.
  • Manage the French Lessons for London, group calendar invitations, monitoring tutor attendance and timing, external meeting rooms etc.
  • Assist with continuous improvement, particularly around HSSE, on-boarding of new starters and efficiency improvements.
  • Support the HR & Corporate Manager in audit and compliance within the areas of Corporate, HSSE, HR and GDPR.
  • Maintain strict compliance to confidentiality, data protection and data privacy.
  • General administration and ad-hoc reporting
  • Proficient in Microsoft Word, Excel, PowerPoint and SharePoint
  • SharePoint super-user (administrator) experience would be advantageous
  • Previous experience of working in a fast-paced administrative role
