The Contract Services Assistant supports the Commercial Services Manager with the administrative work relating to the contracting of new suppliers and with the analysis of data during the negotiation process. They liaise with the Cost team to ensure that all necessary information concerning agreements in place are available in the database and supports the department with the projections of costs long-term during the negotiation process.

Preparation of contracts with the vendors.

Assists with the financial issues relevant to the negotiation of contracts including, but not limited to, studying the long-term impact of the costs and fees under negotiation and discussing any currency issue.

Supports the Services department in mapping all areas where there is room for negotiation, keeping the data-base updated.

Supports suppliers tender process: collection, filing and analysis of the documentation submitted.

Research of new suppliers with the aim to achieve cost reductions and efficiencies.

Check the qualification of new suppliers, collect and pass information to the Vendor and Account departments, ensuring consistency with the existing agreement terms.

Updates the Vendor department for supplier details change.

Works closely with the Costs and Environmental dept.

Ensures that all preferential economic conditions are agreed. Supports the Account department in cases of clarifications on the interpretation of contract terms or calculations on rebates expected.

Follows up with the Financial and Treasury departments on expected rebates issues.

Attends meetings with suppliers when delegated by the Commercial Manager.

Proficient in the use of excel essential.
