Orion Group are looking for a part-time Communications Specialist for our multinational medical devices client based in the West Yorkshire area on an initial 9-month contract with the potential to extend.

Job Purpose
The Compliant Communication Administrator will be responsible for supporting the Compliant Communication Team in their role as general management of the copy approval process for advertising and promotional materials and claims. This will be accomplished by partnering with internal and externals stakeholders.
The Compliant Communication Administrator will be assisting the Manager and Specialists as they traffic and monitor submissions through their workflow cycles.

This position is Part time - 22.5 hours per week (3 days x 7.5 hours).

Main Responsibilities of the role

  • Assisting Project Owner with uploading and linking references in the EOS Copy Approval system
  • Monthly Team metrics
  • Assisting Project Owner with the building of claims matrices
  • Sharepoint site upkeep and maintenance
  • Managing team document updates and adding to Sharepoint site
  • Process and process development
  • Ongoing partnership and communication with Compliant Communication Managers, Specialists and cross-functional stakeholders (Regulatory, Medical, Legal, HCC, Data Privacy, ITS, Communications, HEMA, Marketing, SLD & Prof Ed, Quality, Omrix) in order to achieve business objectives
  • Respond to internal and external customer inquiries relating to references and claims
  • Takes initiative to propose modifications to procedures and processes as appropriate
  • Understanding and adhering to all relevant business SOPs
  • Will be expert on copy approval workflow and digital asset management system in order to provide guidance and support to internal and external customers
  • Pro-actively collaborate with the Compliant Communication technology team to identify and implement technology optimization
  • Complete training in area of responsibility within allotted time-period
  • Training is required for changes in existing policies, standards and procedures, for new assignments and for implementation of new policies, standards and procedures
  • Training plan requirements as defined in Corporate and Franchise training procedures
  • Training on applicable copy approval procedures (US, EMEA and/or UK, Germany, France & Italy) and related internal policies, standards or procedures
  • Applicable external standards (i.e. Medical Device Directive, EFPIA Code of Practice)
  • Physical Demands: Computer work, office desk work, handling phone calls, conference calls

Desired Experience and Background of the successful candidate

  • Personal computer skills, MS Windows, MS Office (MS Outlook, Word, Excel, PowerPoint, Explorer)
  • Microsoft Office extended (Visio, Project, Access)
  • Business experience (at least 1 year)
  • Knowledge of basic Marketing communication principles
