Job description

Our Aberdeenshire based client is seeking an Administrative Assistant on a temp-perm basis. This role reports into the Facilities Manager and will be responsible for all admin duties and manning the main reception area, answering all external/internal calls and receive/ greet all visitors and clients. Hybrid and flexible working are available.

Responsibilities:
* Organise meeting rooms/provide coffee/lunches etc
* Have a flexible can do attitude
* Book Travel & Update Travel Register
* Raise Pos & ICPO is GEOS (training can be given)
* Process Invoices & Credits
* Liaise with Facilities company re cleaners handyman etc
* Report office faults snags to Facilities Manager
* Manning main switchboard (answering, screening and forwarding calls)
* Take and relay messages
* Serve Visitors by greeting, welcoming, directing and announcing them appropriately.
* Logging Admin helpdesk tickets + other misc. duties
* Receiving and sorting daily mail/deliveries/couriers
* Maintain security by following procedures and controlling access (issue key cards, monitor people comings/goings)
* Assist the Facilities Manager with day to day running of the office and the admin tasks associated with this

Experience & Qualifications:
* Excellent communication skills (good grammar/spelling + communicate verbally with confidence)
* Able to prioritize tasks and works well under pressure
* Able to work in a team environment in a collaborative manner
* Proactive nature, able to work to tight deadlines (ability to drive things to closure)
* Good time management skills, Flexible & Reliable
* Intermediate-advance in MS Office
* Pay attention to detail
* Excellent telephone manner
* Excellent people skills - confident & friendly with a good awareness of customer care
